What is event management software?

Event management software centralizes the commercial, operational and financial work behind an event. miEventto connects client CRM, quotes, contracts, rental inventory, logistics, staffing, collections, invoicing and QR ticketing in one event record.

  • 30-day free trial
  • CFDI 4.0 for Mexico
  • Spanish and English

Which modules it includes

A complete suite has three layers. The commercial layer includes a dashboard, client CRM and quoting. Operations connects events, rental inventory, purchasing and vendors, floor plans, staff and fleet. Finance and access cover collections, Mexican CFDI 4.0 invoicing, check-in and QR tickets, while WhatsApp conversations remain connected to the client. In miEventto these twelve modules share information instead of forcing teams to copy names, amounts and dates whenever work moves between departments.

The complete event workflow

Lead and discovery. Work starts when an inquiry arrives by email, WhatsApp or referral. The CRM keeps the contact, company, conversations and follow-up tasks together. Another teammate can continue with context, while management can see which opportunities are active and which need attention.

Quote and contract. The brief becomes concepts, quantities and prices. miEventto can use AI and historical pricing to prepare an editable proposal that is sent as a PDF or public link. Once accepted, that information feeds the event and contract instead of making operations retype what the client approved.

Deposit and planning. Payments received are compared with the total and agreed conditions. Operations works with dates, venues, timelines, floor plans and owners. The purpose is not simply to store files; it is to expose what remains unconfirmed before resources are committed or purchasing begins.

Purchasing, vendors and inventory. Purchases and vendors stay related to the event. Date-based availability reserves furniture or equipment, dispatch orders document what leaves the warehouse, and returns or losses update the record. A sale therefore cannot quietly promise stock already assigned to another production.

Staff, logistics and event day. Personnel, shifts, documents, vehicles and tasks remain next to the timeline. For guest-based events, registration and QR check-in show attendance. After delivery, collections reviews balances and invoicing can issue CFDI 4.0 documents or payment complements through factura.com.

Who it is for

It is used by event agencies, wedding planners, caterers, banquet companies, production houses and venues that need sales and operations to share the same information.

A corporate event agency coordinates accounts, proposals, vendors and reporting for different clients. A wedding planner keeps several weddings separate, each with deposits, guests, seating and its own timeline. A catering company needs to relate menus, ingredients, purchasing, personnel and inventory to guest counts.

Production companies often prioritize dates, crews, credentials, fleet and equipment. Venues and banquet halls need reliable availability for rooms, furniture and packages while tracking holds and balances. Their workflows differ, but all need approved sales information to reach operations without being lost or reinterpreted.

Spreadsheets, CRM, ticketing or an integrated suite

CategoryStrengthTypical limitation
SpreadsheetsManual flexibilitySales, inventory, operations and collections stay disconnected
Generic CRMSales follow-upDoes not manage event resources or logistics
TicketingRegistration, payment and accessDoes not cover the full operating cycle
All-in-one suite such as miEventtoConnects sales, operations and financeRequires a shared workflow

Spreadsheets work for small lists and one-off calculations, but become fragile when several people edit different versions. A general CRM improves prospect follow-up yet does not know whether furniture is reserved or which vendor must arrive for setup. Ticketing solves registration and access without necessarily covering contracts, purchases or profitability.

An integrated suite reduces those breaks because the accepted quote becomes a reference for operations and finance. The trade-off is organizational: teams must agree on owners, statuses and required data. Software does not replace an organizer’s judgment; it makes the process visible so that judgment can be applied consistently.

Common spreadsheet management errors

The first error is duplicating the same event across sales, production and collection files. When the guest count or date changes, not every copy is corrected. The second is treating a sent quote as accepted and reserving inventory without certainty. The third is calculating margin from estimates while leaving actual purchases, staff, transport or losses outside the close.

Teams also depend on one person who knows the latest version, keep receipts in private chats or discover an overdue deposit too late. More columns do not solve those issues. The operation needs relationships between client, event, resources, owners and financial movements, plus permissions that let each person see and update the appropriate information.

Pricing and how to compare value

miEventto starts at USD 29 per month. Starter is USD 29 monthly or 290 annually; Pro is USD 79 or 790; Business is USD 199 or 1,990. 30-day free trial, no credit card.

Starter costs USD 29 monthly or 290 annually; Pro costs USD 79 monthly or 790 annually; Business costs USD 199 monthly or 1,990 annually. A useful comparison goes beyond the subscription fee. Add the cost of tools being replaced, repeated data entry, availability mistakes and the hours required to assemble management reports.

The 30-day trial requires no credit card. That period lets a team load one real case and measure how long it takes to quote, allocate resources, document payments and close the event. A generic demonstration shows features; a trial with your own data shows whether the workflow fits how your company operates.

How to evaluate any provider

  • Does an accepted quote create the event without repeated data entry?
  • Does inventory show date-based availability and prevent overbooking?
  • Is every purchase, vendor and payment linked to the event?
  • Do roles limit what sales, operations, finance and auditors can see?
  • Does the system retain PDFs, contracts, receipts and conversations in context?
  • Do invoicing and payment documents fit your country?
  • Can you test one complete event before subscribing?

Ask what happens when a date changes, attendance increases or a concept is replaced: the update should reach affected teams without erasing history. Review how information remains available when an employee leaves and whether accounts keep company records separate. Finally, verify working integrations rather than relying on logos on a sales page.

miEventto has verified connections with Stripe, Mercado Pago, factura.com, Gmail, Google Calendar, Mailchimp and WhatsApp Cloud API. CFDI 4.0 invoicing applies to Mexico, while the interface is available in Spanish and English.

When you do not need an all-in-one platform

Not every operation needs a suite. If you run one or two events per year, work alone, rent no inventory and collect everything in one payment, a calendar, quote template and spreadsheet may be sufficient. Adopting a complete system also takes time to load catalogs, define permissions and keep statuses current.

The need appears when information changes hands, several dates compete for the same resources, payments arrive in stages or closing depends on gathering scattered costs. A practical sign is that the team spends more time asking which file is correct than deciding what to do. At that point, centralization is not about accumulating features; it is about establishing one source for every event.

Frequently asked questions

What does event management software do?

It centralizes an event from the first contact and quote through logistics, collection and invoicing. Sales, operations and finance work from the same record instead of duplicating information across spreadsheets, inboxes and chats.

Who needs event management software?

Event agencies, wedding planners, caterers, banquet companies, production houses and venues managing multiple clients, suppliers, resources and dates. It becomes particularly useful when several people contribute to each event or inventory must be reserved by date.

Does it replace a generic CRM?

It includes CRM capabilities for contacts and follow-up, then connects each opportunity with quotes, contracts, inventory, purchasing, staff, logistics, collections and invoicing. A generic CRM may track the sale but usually does not manage full event delivery.

How much does miEventto cost?

miEventto starts at USD 29 per month. Starter is USD 29 monthly or 290 annually; Pro is USD 79 or 790; Business is USD 199 or 1,990. 30-day free trial, no credit card.

Can I try it without a card?

Yes. The trial lasts 30 days and requires no credit card.

Which integrations are available?

Verified integrations are Stripe, Mercado Pago, factura.com, Gmail, Google Calendar, Mailchimp, WhatsApp Cloud API. Each supports a specific part of the workflow, such as payments, invoicing, email, calendars, campaigns or client conversations.

When do I not need an all-in-one suite?

If you run very few events, work alone and do not manage inventory, staff, vendors or complex collections, a calendar and spreadsheet may be enough. A suite adds more value as volume, team size and dependencies between departments increase.
